Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have strong computer literacy skills, experience with QuickBooks, and excellent organizational abilities. As an Administrative Assistant, you will provide support to our team and ensure the smooth operation of our office. On the Bookkeeping side you will need to use QuickBooks and CRM Software to track all invoices and keep running tallies on grants, fundraising events, projects and programs.
Support other employees through a variety of tasks related to bookkeeping, organization, and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities include but not limited to:

Assist in managing the office's daily operations and procedures.

General administrative tasks such as answering phone calls, managing emails, and maintaining office supplies. Perform general clerical duties, including data entry and filing.

Act as an assistant to Executive Admin and Executive Director, providing support in various tasks in the office and fundraising events.

Manage Bookkeeping, keep it up to date, produce reports and financials using QuickBooks.
Handle sensitive information in a confidential manner.

Perform accounting tasks such as Invoicing, Accounts Receivable, processing credit card payments, processing Invoices and tracking expenses for grants with a high degree of accuracy, and accounts payable. Also helping at fundraising banquets and other weekend events.

Skills:

Proficiency in double-entry bookkeeping and general ledger reconciliation using QuickBooks.

Experience with clerical tasks related to accounting functions.

Knowledge of general ledger accounting using QuickBooks online and desktop.

Familiarity with payroll processing, tax procedures, and bank reconciliation.



Requirements

•    Attention to detail and problem-solving skills
•    Excellent written and verbal communication skills
•    Strong organizational and planning skills
•    Proficient in Microsoft Office Suite
•    Experience with QuickBooks needed
•    Social media marketing experience is a plus
•    At least 5 years of experience in the field or in a related area
•    High school diploma or equivalent; college degree preferred
