Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families.  Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

This position is open rank, position level will be determined based on the successful candidate’s experience: 

Professionals at the entry level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. At the entry level, duties are limited in scope and are performed with guidance and direction from other professionals and are performed in a training and development capacity.

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.  Work is performed fully independently.

Nature of Work:
The Business Services Specialist is an integral position within the Office of Administration & Strategy that provides an extensive array of independent professional support; operations and event management; and other administrative support to the executive team in the Office of Administration & Strategy.  This position is responsible for leading or supporting events, and official office functions; committees; administrative activities; and ensuring that the office provides a high level of professional and organized operational support. The specialist team is a pilot program, while this position is limited term, there is a possibility of renewal pending budget.

Supervision Received: This position reports directly to the Executive Assistant to the Executive Vice Chancellor for Administration & Strategy 

Supervision Exercised: This position will not supervise other staff 

Salary and Benefits:
The hiring ranges for this position have been established at following: 

Entry Level: $40,916-$57,283 
Intermediate Level: $44,526-$62,337  
Senior Level: $48,137-$67,391   

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Minimum Qualifications:

Entry Level:

  • A bachelor’s degree from an accredited institution. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year or less of professional experience managing day-to-day logistics and operations of an executive.

Intermediate Level:

  • A bachelor’s degree from an accredited institution. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year of professional experience managing day-to-day logistics and operations of an executive.
  • Demonstrated experience with event planning and execution.

Senior Level:

  • A bachelor’s degree from an accredited institution. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • Two (2) years of professional experience managing day-to-day logistics and operations of an executive.

Condition of Employment: 

  • These are 1-year term-limited roles, with the opportunity for renewal pending budget. 
  • These full-time positions (40 hr/week) will work on a hybrid work schedule.
  • For events, this role may need to be able to push, pull or lift up to 20 lbs assisted or unassisted. 
  • May be required to travel around the Denver metro area for events. 
  • Occasional evening and/or weekend hours may be required in order to support events.

Preferred Qualifications: 

  • Experience with Concur, CU Marketplace or similar procurement systems.
  • Experience working with PeopleSoft or similar systems and software.
  • Experience with Zoom.
  • Experience with Form Stack and Cvent 
  • Prior experience working in higher education. 
  • Advanced experience with MS Office applications, particularly Outlook, Word, Excel, and PowerPoint.

This position requires a substantial degree of independent action, diverse, and progressively responsible experience, including direct responsibility for oversight of event and project management and the ability to coordinate effectively with the executive team to achieve office and university goals and vision. Specific duties include: 

Operations:

  • Provides efficient and effective delivery and integration of operations for the executive office, which includes program management and operational support, complex calendar management, arranging complex and detailed travel plans, and coordination with a broad range of contacts.
  • Collaborates closely with project management team to ensure timelines, deliverables, and resources are properly communicated and secured for future planning, meetings and/or events
  • Promotes a positive, welcoming, service-oriented culture in the executive office and provides occasional front desk support. 
  • Develop and implement administrative processes that foster efficient and effective service delivery.
  • Leads team support activities such as: prioritizing conflicting needs; handling matters expeditiously and proactively.
  • Works closely with senior support staff in university leadership to support and further the university’s strategic priorities and initiatives.
  • Collaborates on workflow or process improvement projects and pro-actively updates office staff to ensure smooth and efficient workflow of the office.
  • Perform archival and maintenance of unit records to ensure appropriate storage of official and historical documents, accessibility, and compliance with the University’s records retention policy.
  • Manage executive team’s webpages and coordinate updates accordingly.
  • Oversee conference room calendaring, directory updates, etc.
  • Screens, prioritizes, and responds to communications received through email and requests for information and, if applicable, refers to appropriate staff member or University office.
  • Serve as the first contact for the executive team’s travel schedule including conference bookings, airfare and hotel accommodations, ensuring the executive’s travel is well-organized and optimizes time and trip effectiveness; reconcile travel reimbursements upon the executive’s return.
  • Supports and champions the mission and vision of the university and community.
  • Maintain appropriate stock of general office supplies, calendars, and other incidentals. 
  • Oversee and coordinate facilities management activities to ensure office space and equipment is properly maintained and fully functional; this includes troubleshooting and reporting issues as needed, arranging for repairs, signage, office moves and assignments, telecomm, access control, liaising with Facilities Management, etc.

Events & Logistics Management:

  • Manage the full-cycle event planning and execution, both on- and off-campus departmental events for major partnerships, outreach activities, team-building exercises, and celebratory events. 
  • Responsible for reinforcing policies, as well as identifying and communicating any compliance and/or risk management concerns related to events.
  • Evaluate events for quality and participation based on goals and objectives and implement improvements for future events based on observations and feedback; analyze data and provide recommendations for future events.
  • Collaborates with designated event sponsors to develop unique tracking and/or survey materials.
  • Provide logistical oversight and coordination of the executive team’s schedules; plan and manage requests for their presence to ensure strategic and balanced use of their time with key constituencies.
  • Provide logistical support, planning and coordination of executive and visitor travel.

Business Relations Management:

  • Develop and maintain a broad knowledge of the external groups and individuals with whom the executive team regularly interact and serve as liaison to these groups and individuals.
  • Serve as the initial point of contact for the office of Administration & Strategy executives, using diplomacy and public relations skills to appropriately answer or refer questions about the office’s activities, deadlines, procedures and services.
  • Foster positive relationships and serve as a well-regarded emissary of the executive support team to employees of the university, to campus and system personnel, and to external individuals and groups. 
  • Promotes positive, welcoming, service-oriented culture in the office of Administration & Strategy.
  • Support business-partnering activities.
  • Answers inquiries about activities and procedures through written and oral communications. 
  • Work with departments to update COOP plans; manage plans and work collaboratively with Departments to ensure plans reflect current staffing and address contingencies (ex. pandemic planning, flexplace agreements, etc.).
  • Serve as floor warden and/or work closely with emergency management team to develop emergency plan and emergency kit for the floor.

Fiscal Duties:

  • Oversee the timely execution of procurement functions, including the creation of expense and travel reimbursements, procurement and travel card transactions, etc.
  • Maintain current knowledge of purchasing processes and guidelines; attend trainings as needed or required.
  • Serve as a subject-matter expert for purchasing and procurement activities and provide interpretation and guidance to staff on policies, processes, and procedures relating to procurement, travel, and expense reimbursements.

Other/General Duties:

  •  Attend open forums and training sessions as needed to stay abreast of university and campus-wide policies, processes and procedures that could affect operations.
  • Serve on internal and external ad hoc and standing committees, as needed.
  • Ensures adherence to CU policies under the purview of this position.
  • Perform other related work as assigned and/or required by the nature and scope of the position.
