Position Summary

The Administrative Director will provide oversight of administrative functions and resources for the daily operations of the Senior Vice President for University Enhancement/Chief of Staff (SVP-COS) and will also effectively support and direct special projects for those two offices, which currently are led by one administrator. They will also serve as a resource for internal and external stakeholders in representing the SVP-COS.

The ideal candidate will have a solid track record of providing high-level administrative support, rigorous attention to detail, and an ability to work with a variety of stakeholders in a positive and productive manner.  An ability to exercise initiative, confidentiality, and independent judgment are also necessary for success.

The position will require frequent evening or weekend work, some of which may be completed remotely. The selected candidate may be eligible to work from home 1-2 days a week.

Essential Duties & Responsibilities

  • Manage all aspects of administrative support and project execution for the SVP-COS
  • Promote a positive image of the university by greeting and receiving visitors to the SVP-COS’s office, responding to inquiries, providing information regarding university policies or decisions, and referring inquiries or problems to the appropriate office or person for resolution
  • Assure confidentiality of the activities that relate to the position and the office
  • Develop and optimize processes that ensure the efficiency of the functions of the SVP-COS’s office
  • Manage emergent issues and facilitate resolution of such to ensure smooth operations for the Office
  • Schedule appointments and coordinate meetings with internal and external partners
  • Participate in the development of Office goals and objectives 
  • Assist with the maintenance of InSite and Website pages
  • Arrange travel and lodging for the SVP-COS and guests
  • Coordinate and facilitate meetings and special events such as seminars/webinars
  • Provide support for Commencement activities as it relates to special guests
  • Maintain inventory of supplies and equipment
  • Perform other related duties as assigned and/or delegated

Who We Are

The SVP-COS works within the Office of the President and reports directly to the President. This office is the principal administrative office of the university which works collaboratively with the Board of Trustees, the university community, and strategic partners in the region. The SVP-COS oversees the Division of Marketing and Brand Management, the Office of Government Relations, and also guides and supports the efforts of the Division of Institutional Advancement, which includes philanthropic and alumni engagement, stewardship and corporate and foundation relations. The Senior Vice President of University Enhancement also is charged with implementing a periodic strategic planning process to advance the University’s mission. The Chief of Staff role is focused on board relations and board communications, as well as overseeing the operations of the president's office.

Required Education & Experience

  • Bachelor’s degree or equivalent experience
  • Minimum 5 years of executive or senior level administrative support

Required Knowledge, Skills, & Abilities

  • Knowledge of office and administrative practices and principles supporting executives at a high level
  • Highly effective written and verbal communication skills
  • Excellent organizational, planning, and analytical skills
  • Proven ability to treat sensitive/confidential information with appropriate discretion
  • Strong customer service skills evidenced by actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern as appropriate
  • Demonstrated ability to work as part of a team and to interact effectively and maintain collegial relationships with administration, faculty and staff
  • Flexible, adaptable, and possessing ability to exercise sound judgment 
  • Self-starter, self-directed, detail-oriented, and possessing excellent time-management skills
  • Ability to effectively handle multiple projects simultaneously, prioritize responsibilities, and handle detailed job tasks with accuracy and efficiency to meet deadlines
  • Proven problem-solving skills with ability to develop and implement process improvement plans with a drive for quality outcomes
  • Editing and proofreading skills; ability to compose correspondence
  • Proficient use of computer software including spreadsheet and database development and management and familiarity with Web platforms and desktop publishing. Particular experience with Google Suites, including Google Calendar, Google Drive, Google Slides and Gmail.
  • Knowledge of budget processes

Preferred Qualifications

  • 7+ years’ experience in executive administrative support 
  • Prior work experience in academic administrative setting in higher education
