About us: The Foundation for Montana History a 501(c)(3) statewide nonprofit that raises funds and makes grants is seeking a friendly, highly organized, detail-oriented individual to join our dynamic team as Administrative Assistant. This part-time position (24-32 hours per week) is an in-office opportunity in Helena.The position is benefits-eligible and includes a generous leave package.
Primary duties:
- Serves as first point of contact and welcomes on-site visitors. Provides positive first impression and excellent customer service.
- Receives, processes, files, and/or routes all incoming and outgoing mail, and bank deposits. Codes, queues up, and tracks invoices for payment.
- Oversees daily office operations and procedures, including records retention schedules, property records, inventory, and filing systems.
- Supports and assists Foundation staff by providing information, reports, data, and other materials as needed.
- Coordinates logistics for on and off-site board meetings and events, takes meeting notes, and distributes meeting agendas and documents.
- Manages Foundation’s facilities and equipment, including identifying, directing, scheduling, and supervising contractors and other service providers.

Requirements
The ideal candidate holds at least an associate’s degree and/or 3-5 years of office experience. If you have mastered MS Office Suite applications (Word, Outlook, Excel, Power Point), have experience with other software such as QuickBooks Online, Bill.Com, Stripe, or Bloomerang, possess excellent written and oral communication skills, are able to operate with a high degree of confidentiality, and have a passion for Montana and its people, we would love to talk to you about this position.
