Position Summary With a commitment to cultural humility and an on-going awareness of personal biases, this position provides financial and administrative support for the UCPEA Office in compliance with established policies and procedures. The Financial/Administrative Assistant reports to the Executive Director or designee.
Duties & Responsibilities
Perform day-to-day bookkeeping activities including but not limited to:
record transactions
categorize expenses
process accounts payable and receivable
reconcile accounts.
Maintain accurate, up-to-date, and accessible records of all financial transactions.
Respond to and resolve financial inquiries and issues.
Prepare financial documentation for external audits and historical data to support the annual budget preparation process.
Provide administrative support including but not limited to:
Prepare, edit, and format documents
Maintain physical and electronic filing systems
Assist staff with daily tasks, data entry, and projects
Coordinate office maintenance and cleaning
Maintain office inventory and order supplies as needed
Answer, screen, and direct phone calls
Respond to and direct incoming emails
Welcome and assist office visitors
Assist with event planning and on-site event support
Book meeting spaces and coordinate appointments
Perform related work as assigned.
Requirements
REQUIRED QUALIFICATIONS
Experience
One (1) year of professional bookkeeping or accounting experience, three years of volunteer bookkeeping experience, or relevant degree.
Knowledge
Bookkeeping practices and procedures.
Account reconciliation processes.
Microsoft Office or similar productivity software.
Skills
Communicates effectively with others one-on-one and in small groups.
Comfortable using or learning common office software and collaboration tools.
Proficient in addition, subtraction, multiplication, division, and percentages.
Values

PREFERRED QUALIFICATIONS - in addition to all required qualifications.
Experience
Three (3) years of professional bookkeeping or accounting experience.
Experience using Microsoft Word, Excel, and Outlook.
Experience using Adobe Acrobat.
Experience using QuickBooks Online or other similar accounting software.
Knowledge
501 (c)(5) financial regulations and reporting requirements.
Internal structure of labor unions.
Relationship between union membership and dues.
Certification
AIPB Certified Bookkeeper, NACPB Certified Public Bookkeeper, or similar.
