Description

Bellarmine University is seeking a Senior Administrative Assistant to support the Vice President for Student Affairs and the Division of Student Affairs. The person in this role engages with individuals at all levels of the institution and community. They must maintain a high level of organization and commitment to excellence as they support the division in their mission of providing transformative, holistic, educational experiences and services where students develop the capacity to lead authentic lives and to serve the common good within a global community.

Primary responsibilities include:

  • Work as a Division of Student Affairs team member to assure support for the Vice President for Student Affairs and the Division of Student Affairs
  • Intuitively conduct work with a high level of discretion
  • Schedule appointments/meetings; manage calendars and appointments
  • Reserve meeting spaces and prepare meeting documents
  • Coordinate business travel
  • Staff special committees
  • Be responsible for financial processing and record keeping
  • Manage and track Student Affairs budget
  • Manage key performance indicator (KPI) and annual report data
  • Support VPSA in their advising role to various student groups
  • Prepare correspondence and reports
  • Coordinate division and student events
  • Coordinate itineraries and travel arrangements for candidate on-campus interviews
  • Perform general research and benchmarking
  • Answer telephone, greet office visitors, and perform office tasks (filing, scan documents, make copies, etc.)
  • Perform other duties as assigned

    Additional Information:

    This is a regular, full-time position with the normal office hours of 7:30 a.m. to 4:30 p.m. However, this position sometimes works extra hours to complete important tasks.
