The Roger Williams University Law Library seeks a highly organized, detail-oriented person to join the library as its Administrative and Collection Services Assistant. This position is ideal for someone with administrative office experience seeking to expand their skills in financial operations, budgeting, data analysis, project coordination, event planning, and academic support in a higher education environment. The successful candidate will work closely with library staff, law school and university departments, and vendors to support the daily operations of the Law Library while gaining broad exposure to higher education administration, financial management, and law library services.

Key Responsibilities:

The Administrative and Collections Services Assistant ensures the smooth operation of the law library through their financial, operational, and administrative activities. The assistant processes invoices and payments, assists with budget tracking and reporting, works with vendors and university offices to resolve questions, and contributes to projects that help the library manage resources effectively.

As a member of the collection services team, the Administrative and Collections Services Assistant plays an important role in managing library collections. This includes receiving and processing books and journals, maintaining accurate records in library systems, and assisting with collection maintenance projects. The assistant supports library operations by coordinating supplies and service requests, coordinating library events, and preparing reports, presentations, and data summaries for stakeholders and external reviews.

Finally, the Administrative and Collections Services Assistant provides direct support to the law library dean and staff by coordinating communications, maintaining records, assisting with academic support activities, helping organize meetings and events, and serving as a welcoming point of contact for students, faculty, staff, and visitors. Bachelor's degree in a related field from an accredited institution.

A minimum of two years of relevant administrative office experience, including payment and accounting systems.

Strong service orientation.

Excellent interpersonal, verbal, and written communication skills.

Experience working with a student body, faculty, and staff with diverse backgrounds and experiences. 

Ability to function as a team member and work independently with little or no supervision.

Excellent organizational skills and ability to prioritize tasks and projects.

Attention to detail needed to complete tasks accurately and in a timely manner.

Excellent computer skills, including a working knowledge of the current University-supported Windows environment, Microsoft Office applications, and Acrobat Professional.

Preferred Qualifications

One year of experience in an academic setting, in a library or finance office.
