Description

ICF has an immediate need for an Executive Administrative Assistant to provide support to the management team within our IT Modernization Division. This full-time position will be responsible for a variety of administrative duties. Experience with Microsoft Suite applications is a must, including Outlook, Word, and Excel.This position requires strong communication and organizational skills and the ability to be flexible as demands and priorities change.

What you'll be doing:
  • Serve as gatekeeper and point-of-contact for the Division Leader, modeling utmost confidentiality and professionalism.
  • Maintain and manage calendar, appointments, and calls for the Group Leader. Resolve calendar conflicts and manage other operational requests.
  • Maintain and continually develop a solid understanding of organizational operations, policies, procedures, and regulations to better anticipate needs and requests.
  • Build strong internal and external relationships and become a go-to resource for corporate and agency information within the team.
  • As requested, attend team meetings, collect notes and action items, and send follow-ups to team members.
  • Work flexibly with Division staff to manage and expedite Division operations, partnering collaboratively with internal services.
  • Consulting with corporate travel agents, coordinate travel arrangements including transportation and accommodations, based upon corporate guidelines. Prepare tentative travel plans and suitable alternatives for approval by traveler. Serve as general resource for traveler; research problems and resolve issues as necessary.
  • Track travel for expense purposes. Generate expense reports monthly.
  • Lead Division event planning and coordination as needed.


What you must have:
  • High school diploma
  • 3 or more years of experience supporting senior leadership or executive-level role
  • 3 or more years of experience supporting and handling details of a highly confidential and critical nature
  • 3 or more years of experience demonstrating an aptitude for effectively employing technology to support gains in productivity, efficiency, coordination, and staff engagement across the Group (e.g., setting up audio/visual equipment, comfortable with technologies that facilitate virtual meetings and communications)
  • 3 or more years of experience in MS Office (Word, PowerPoint, Outlook, and Excel)
  • 3 or more years of experience working with geographically disbursed teams.

  • Advanced degree (Associate's or Bachelor's)
  • Self-Starter with strong motivation to succeed.
  • Strong background and expertise in utilizing organizational skills including attention to detail and ability to prioritize to work within deadlines; diplomatic and strategic with multi-tasking; problem solver, project manager, and ability to work independently.
  • Able to partner with matrixed teams and leadership across a variety of lines of business
  • A background in working in the Federal space
  • Experience supporting an IT environment
  • Strong professional communications skills - written as well as verbal/oral
  • Ability to work with and demonstrate a sense of urgency in all aspects of work.
  • Experience with MS SharePoint, MS Teams and Workday preferred
