Salary Grade: $20.00 Hourly (Maximum of 24 hours per week)
Reporting to: Associate Dean, Career and Career Transfer Pathways

About This Role
The Part-time Administrative Assistant provides vital administrative, technical, and customer service support to the Career and Transfer Pathways office. This role helps ensure a smooth experience for students and staff interacting with the Handshake platform and other career/transfer services. The assistant will also support general office operations, communications, events, and special projects.
What Youll Do:
Student Engagement & Support
- Promote events and opportunities using email templates, flyers, and social media
- Welcome and check in students visiting the office, ensuring they are directed to appropriate staff
- Respond to routine student and staff inquiries about career and transfer services and direct more complex questions appropriately
Employer & Event Support
- Support the review and posting of employer profiles and job listings in Handshake
- Provide logistical support for special events and programs, including check-in and material preparation
- Assist with basic outreach and registration support for events such as Career and Transfer Fairs
- Support the coordination of events and meetings, including sending invites, confirming room reservations, signage, and technology setup
Administrative & Office Operations
- Provide front-desk coverage: answer phones, greet visitors, and route calls/emails professionally
- Assist with general office duties including filing, making copies, preparing folders, and monitoring office supplies
- Support office cleanliness and organization of shared spaces
- Draft and proofread basic correspondence, memos, and forms
- Help manage shared email inboxes, forwarding inquiries and tracking responses
- Enter and update data in systems such as Handshake, Navigate (EAB), Excel, Microsoft Teams, or Google Forms and other systems
- Maintain organized electronic files, student lists, and reports
- Manage the reconciliation of all event-related expenses, ensuring accurate and timely financial reporting and oversight
- Assist with tracking expenses and managing promotional inventory
- Take meeting notes and complete follow-up tasks for internal team meetings
Platform & Communications Support
- Support administration and maintenance of the Handshake platform (e.g., posting jobs, tracking engagement, updating records)
- Prepare and send student communications using staff-developed templates via email or social media
- Help track internal and external communications for consistency and documentation
- Assist in scheduling internal meetings, workshops, and other program activities
Other Duties
- Support program participation of college recruitment fairs, conferences, open-house and related outreach events
- Perform additional administrative and support tasks as needed
What Youll Need
Required/Minimum Qualifications
- Associates degree or equivalent junior year status at college or university.
- Detail oriented, punctual and team player that possesses strong verbal and written communication skills, with the ability to successfully balance multiple tasks while always providing high quality customer service.
- Experience working with a culturally diverse student population is highly desirable.
- Proficiency with various computer software programs including Microsoft Office suite, Ellucian-Colleague, EAB Navigate and similar higher education platform.
- Hours are variable and may include evenings and or weekend hours.
