Administrative Assistant (Chair's Assistant)
Administrative duties related to the departmental chair and faculty. Including but not limited to logistical development related to faculty recruitment, retention, tenure/promotion, faculty voting, retention of faculty meeting records, faculty international visa requests, new faculty relocation, faculty contract letters, chair and faculty travel arrangements, chair calendar scheduling, etc. Assisting chair with daily correspondence, cyclical reports and deadlines based on Dietrich School Chair's Handbook calendar. Oversight of office equipment and supply management. Liaison between department. Responsible for day to day departmental operating functions. Oversight of student workers, file storage, US mail and UPS shipments. Conference room schedules. Provides peer backup support and other duties as assigned.
Must command excellent interpersonal and relationship-building skills and the ability to work effectively with a wide range of individuals and constituencies in support of a diverse community. Must have expert verbal and written communication skills. Must be able to work independently as well as part of a larger team. Must be willing to serve as back-up within the functional team environment. Must be flexible, adaptable and willing to assume responsibility. Strong analytical and problem-solving skills required. Must have the ability to resolve conflict and deal with a high-volume workload while adhering to strict deadlines. Must be able to use a computer and keyboard, and be able to use video communication technology (Skype, Zoom, Teams, etc.). Work is frequently conducted by email, telephone, in-person, or using video communication technology. The ability to communicate in a clear and concise fashion is essential. This position is generally sedentary within an office setting, but the ability to travel around campus is occasionally necessary. Also, must be able to pick-up and carry 25 pounds. High school diploma or GED required.
