Under the general supervision of the Executive Administrative Assistant, this position is responsible for serving as the first point of contact for the North Metro Fire Rescue District. Under general supervision, this position performs a wide range of administrative and customer service duties, including greeting visitors, answering telephones, routing communications, and maintaining records and documentation. The role supports administrative operations for the District through data entry, filing, scheduling, document preparation, and special projects. The position requires professionalism, accuracy, confidentiality, and the ability to work independently and handle multiple priorities in a public-facing environment.

FLSA STATUS: This position is non-exempt from the requirements of the Fair Labor Standards Act.

Administrative Assistant I Hiring Process - Important Testing Dates: (Dates are tentative and may change based on district needs.)
*Candidates must be available in person for testing on the following:
- Spark Hire Video Interview - Week of November 17, 2025
- In-person Assessment/In-person panel interview - Week of December 10, 2025.*
General Duties and Responsibilities:
- Serve as Receptionist: answer the telephone and route calls to appropriate person(s), assist the general public, providing information on the District’s programs, policies and procedures.
- Perform a variety of routine clerical work including filing, copying, scanning, scheduling appointments and meetings, checking and recording information on records.
- Type, proofread and process a variety of documents, including general correspondence, memos, Standard Operating Procedures from rough draft or verbal instruction for various District personnel.
- Assist with organization and maintenance of administrative files including archiving of department records.
- Provide telephone and in-person support to the general public requesting information on the Ambulance Membership Program. Manage enrollment and renewal of members.
- Assist public with scheduling appointments for car seat checks and station and engine tours.
- Schedule ride-alongs for prospective firefighters or paramedics.
- Receive, sort and distribute all incoming District mail, packages and faxes, log incoming checks and cash, prepare and process all outgoing mail and deliver to Post Office, ship packages/documents via UPS, certified mail, messenger service or U.S. Postal Service.
- Provide support to Fire Prevention Administrative Assistant such as answering phone calls, receiving plans as well as taking payment during absences.
- Order office supplies, as assigned.
- Assist Accounting personnel with month end reporting of ambulance billing, monthly collections list of ambulance billing, weekly face sheets to billing company, daily reconciliation of EMS incidents, and other tasks, as assigned.
- Respond to request for ambulance transport billing and patient care reports.
- Respond to requests for fire reports.
- Maintain optional clothing inventory, including the fulfillment of orders and counting of inventory on a monthly basis.
- Survey kitchen supplies and develop shopping lists.
- Receive, record and check in incoming equipment, merchandise and supplies upon receipt in accordance with District procedures. Scan all packing lists and send to accounting and the recipient via email.
- Conduct maintenance checks on office copier, postage meter, etc., and be designated contact for service calls.
- Read and interpret maps, provide directions to the public.
- Set up conference rooms for various meetings, stock conference room refrigerators with drinks and keep Board kitchen free of clutter and debris.
- Provide support to Administrative Assistants, during special projects and absences.
- Perform related duties, as assigned.
EDUCATION AND EXPERIENCE:
High school diploma or GED and two years' experience providing administrative secretarial support, receptionist, or any equivalent combination of education and experience.
Preferred:
Associate's degree in business or related field from an accredited college or university.
Must obtain Notary Public certification within six (6) months of employment.
NECESSARY SPECIAL REQUIREMENTS: – Must possess and maintain a valid driver’s license and safe driving record for continued employment. New hires must, as a condition of employment, pass the following applicable pre-offer and post-offer/hire processes: oral board/s, reference checks, background checks including criminal background check, sex-offender registry, and driving record check.
