Position Summary
This is a great opportunity for someone who enjoys a position doing a variety of administrative tasks. The right candidate should be able to handle a multitude of tasks and be able to multi-task effectively and respond well to deadlines under pressure. The Administrative Assistant will work collaboratively and cooperatively with other Association staff in a team oriented environment and will report directly to the Executive Director.
Purpose of Position: 
Provide a high-level of skilled administrative support to ensure effective and efficient operations. 
Primary Responsibilities:
•    Manage phone system (web-based)
•    General Filing
•    Assist with projects for bi-annual conventions and other education and chapter events
•    Update and ensure the accuracy of the association’s database 
•    Mail and postage machine management including supplies and maintenance
•    Manage office supplies and office equipment maintenance
•    Track equipment contracts
•    Process Convention registrations
•    Process Membership Dues
•    Assist at Pre-registration desk at bi-annual Conventions
•    Provide secretarial and administrative support to the Executive Director, Director of Membership, and Director of Education and Events
•    Design and implement file, index, tracking, and record-keeping systems 
•    Operate standard office equipment, including job-related computer hardware and software applications, and multi-line          telephones
•    Demonstrate respect, honesty and professionalism at all times with a focus on serving the Association’s membership
•    Adhere to an established work schedule and the organization's timekeeping practices 
•    Perform other duties as assigned
Requirements
Skills and Abilities Required:
•    Perform responsible administrative support work with accuracy, speed, and minimal supervision
•    Effective writing and proofing of documents and correspondence
•    Produce memos, correspondence, and materials
•    Proficiency in Microsoft Office, virtual communication tools and web-based applications and platforms
•    Demonstrate effective time management, organization, and problem-solving ability
•    Work collaboratively with multi departmental teams
•    Effective interpersonal and professional skills when engaging with Association membership and Board of Directors, vendors, and partners
•    Treat sensitive matters with confidentiality.
•    Travel for conferences or trainings by air and ground transportation.
•    Understand the organization and operation of the Association and of outside agencies as necessary to assume assigned responsibilities 
•    Organize and prioritize a variety of projects and multiple tasks in an effective and timely manner
Job Type 
Full- time, Monday to Friday 8:30 a.m. to 5:00 p.m. 
Occasional overnight travel to staff off-site functions. May be asked to work occasional overtime, evenings, nights, weekends, and holidays. Travel will be required to the association’s conventions bi-annually in January and June each year.
Pay hourly, DOE

Education and Experience:
Associate degree with major coursework in business management, secretarial practices, or related field, and minimum two years of advanced administrative support experience required. Experience with member-driven associations or non-profit organizations is preferred. Relevant experience may be considered in lieu of degree requirement.
