- Administrative Assistant/Accounts Payable Specialist
Description
The Administrative Assistant/Accounts Payable Specialist, under the direction of the Director of Operations, is responsible for promptly entering all invoices, printing checks, and recording payments into BS&A Accounting Software for both the Southeast Macomb Sanitary District (SEMSD) and the South Macomb Disposal Authority (SMDA). Collaborate with vendors to establish accounts and set up ACH payments.
This employee will work directly with the union employees and representatives to record, pay, and maintain up-to-date records and payments regarding union and non-union employee benefits.
The Administrative Assistant will attend the SEMSD and SMDA Board meetings twice a month, prepare Board packets, record meeting minutes, and post updates to the company website.
Process payroll for union and non-union employees of the SEMSD. Maintain employee personnel files, track shift differentials, expense reimbursements, pay raises, paid time off, paid benefits, and communicate and respond to personnel-related questions.
Invoice member communities for Sewer User Charges.
Order and track office supplies and perform additional administrative duties as needed.
Requirements
To perform this job successfully, applicants must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and /or ability required.
Possession of a High School diploma or General Education Degree (GED).
Knowledge and experience with accounting software, accounts payable, data entry, and
payroll.
Experience with ACH payments, employee benefits, and union relations.
Attend Board meetings, record meeting minutes, and prepare meeting packets for SEMSD Board members twice a month.
Excellent communication skills.
Proficient in Microsoft Word, Excel, Outlook, BS&A Software, and QuickBooks.
