Job Description
Position Title: Administrative & Communications Associate
Hours: 24 hours/week; Mon-Thu., 9-4 (1 hour lunch), limited start/stop time flexibility
Reports To: Pastor of Quail Springs UMC (“QSUMC”)
Summary
The person in this position will support the mission and ministries of QSUMC by serving as the central hub for administrative and communication functions, internally and externally.
Key Responsibilities
Administrative Support & Communications (internal and external)
- Serve as the point of contact for walk-ins, phone calls and general emails sent to the church.
- Manage/maintain the church calendar (including facility use, ministry events, etc.)
- General office administration.
- Liaison with the church’s external vendors for needs/support (e.g., IT, copier, safety, etc.).
- Order supplies and items needed for worship and ministry events.
- Maintain church records (membership, attendance, baptisms, etc.).
- Prepare and submit UMC reports and other required documentation.
Internal Communication & Coordination
Produce and distribute internal print and electronic communications such as newsletters, announcements, worship bulletins/slides, letters, schedules, stewardship materials, etc.
Facilitate communication and information shared with members and visitors.
External Communications & Engagement
- Work with volunteers/staff for new visitor/member follow-up communication (letters/emails).
- Coordinate and post content for social media platforms using stories, photos, and videos
- provided by staff and volunteers.
- Maintain the church website with accurate, current information.
- Support communication efforts for special events, outreach, and marketing campaigns.
Desired Skills & Qualifications
- Strong organizational and time-management skills with attention to detail and consistency.
- Clear written and verbal communication.
- Proficiency with MS Office, email, Canva, and social media platforms (training available).
- Ability to manage multiple tasks and maintain confidentiality.
- Collaborative, positive, approachable, and detail-oriented.
- Comfort working with volunteers and within a faith based, nonprofit environment.
- Prior experience in administration, communications, or nonprofit/church work is a plus.
