Position Information

High school diploma or equivalent

Baccalaureate degree or at least three years of previous administrative experience.
Position Summary
This is a highly responsible professional position in the Graduate School Dean's Office. The position involves a variety of administrative duties. The incumbent will be responsible for ordering supplies and maintaining purchasing records, assisting employees with building maintenance issues, overseeing conference room reservations, and providing backup administrative support for the Dean's Office Group. Also, this position will serve as the Graduate School's liaison for Telephone Services, Asset Management, and Facilities Management Division. Duties are performed under the general supervision of the Executive Assistant.
Knowledge, Skills, Abilities and/or Competencies
- Ability to communicate effectively with various stakeholders, including staff, students, and visitors.
- Excellent communication and multi-tasking skills.
- Knowledge of university policies and procedures.
- Attention to detail.
- Working knowledge of UGA Systems (UGA Financial Management System, FAME, GAIL, etc).
- Sitting for long periods of time, computer work.

Duties/Responsibilities
Duties/Responsibilities
- Provide administrative support in managing the daily operations.
- Order office and break room supplies.
- Maintains records related to purchasing of supplies throughout the Graduate School for general use, specific use, and as needed to ensure compliance with regulations, policies, and procedures dictated by not only the Graduate School administration, but by UGA/USG policies.
- Process incoming/outgoing mail.
- Coordinate reservation requests for Brooks conference room (including AV systems).
- Manage the Graduate School's storage spaces, maintain inventory of items, oversee the use of items to ensure they are efficiently used to prevent waste of products, etc.
- Serve as Asset Management Officer - duties include conducting the annual inventory; reporting any changes or corrections on the Inventory Master Copy and submitting to Property Control; working with Property Control to process items to be surplused, transferred, or authorized for off-campus use.
- Acts as liaison for graduate student poster printing requests with the Tate Center Printing Services, where the Graduate School is providing funding for the printing.
- Serves as Telephone Services Representative, handling all aspects of telephone needs.
- Serve as the Building Liaison for Facilities Management Department (FMD) maintenance issues and submitting work orders; communicating building-wide announcements via email; and other related duties.
- Provide back-up administrative support for the Vice Provost for Graduation Education/Dean of the Graduate School, Executive Assistant, and Dean's Office Group.
- Assist Events Coordinator with Graduate School events as needed, such as 3MT, Commencement, Graduate Student Appreciation Week, etc.
- Manage the identification/selection of end-of-year promotional items for Graduate School use at events, recruitment, student appreciation, etc.
