As the Day Camp Administrative Assistant, you play a vital role in supporting safe, organized, and impactful camp programs that make a difference in the lives of girls.
Your Role
The Day Camp Administrative Assistant provides essential administrative, logistical, and operational support to ensure high-quality and compliant day camp experiences. This role helps maintain accurate records, supports communication across teams, and contributes to a safe, welcoming environment for all campers and staff.
Key Responsibilities
- Prepare, organize, and maintain camp records, reports, and documentation in alignment with organizational standards
- Support staff meetings, trainings, pre-camp preparation, and weekly administrative materials
- Collect and review camper registration materials, including health histories and emergency contact information, ensuring accuracy and confidentiality
- Generate routine reports, including weekly registration and attendance summaries
- Coordinate purchasing, tracking, storage, and distribution of program supplies and equipment
- Maintain accurate inventory records across camp locations
- Assist with tracking and documenting expenses and site budgets
- Serve as a point of contact for families, staff, and volunteers; respond to inquiries and escalate concerns as appropriate
- Support clear, timely, and respectful communication across camp communities
- Provide administrative support to site directors and staff during camp sessions
- Maintain accurate program records and end-of-season documentation
- Respond to and document injuries and illnesses; provide First Aid/CPR as needed
- Step in to support programming as a counselor or specialist when additional coverage is needed
- Model professionalism, inclusion, and positive communication
- Ensure compliance with all safety standards, policies, and emergency procedures
- Participate in staff meetings, trainings, and evaluations
- Support overall camp operations as needed
Requirements
What You'll Bring:
- Must be at least 18 years of age
- Experience in administrative support, office coordination, or related work
- Current CPR/First Aid certification
- Strong organizational skills and attention to detail
- Ability to handle confidential information with discretion
- Effective communication, customer service, and problem-solving skills
- Ability to prioritize and manage multiple responsibilities in a dynamic environment
- Reliable, adaptable, and able to work both independently and collaboratively
- Valid driver’s license, proof of insurance, and reliable transportation
- Commitment to the mission and values of Girl Scouting, including the Promise and Law
Work Environment:
- Outdoor day camp setting with exposure to varying weather conditions
- Schedule may include early mornings and occasional evenings
- Active role requiring standing, walking, and engagement in camp activities
This is an hourly, seasonal full-time position, starting on June 1 and concluding on August 3. The pay range for this position is $20.00 - $21.00 per hour, DOE
