Description
Description:Be the face and voice of Kinsley Group. As the Executive Administrative Assistant, you'll play a pivotal role in supporting our executive leadership team and representing Kinsley with professionalism and warmth. This position is ideal for someone who thrives in a fast-paced environment, loves keeping things organized, and enjoys being the go-to person who keeps everything running smoothly behind the scenes.
Key Responsibilities:
- Manage calendars, coordinate meetings, and handle travel arrangements (including working with a travel agent for the CEO).
- Organize and prioritize email inboxes, responding on behalf of the COO as needed.
- Prepare and submit expense reports, upload and maintain contact lists, and manage reminders for birthdays, milestones, and key events.
- Handle confidential materials and sensitive information with discretion.
- Provide occasional assistance with personal errands or tasks as requested.
- Serve as the first point of contact for calls, emails, and visitors—ensuring a welcoming, professional experience.
- Direct inquiries promptly and accurately, maintaining positive relationships across all levels of the organization.
- Keep reception and common areas neat and organized.
- Order and restock office, breakroom, and janitorial supplies.
- Manage incoming and outgoing mail, deliveries, and shipping needs.
- Assist in planning and coordinating company-wide events, leadership meetings, and town halls.
- Manage invitations, catering, meeting setup, and logistics to ensure seamless execution.
- Support management of COIs, particularly during high-volume periods.
- Participate in emergency response protocols and perform additional administrative tasks as assigned.
Preferred Experience and Skills:
- High school diploma or equivalent required; additional education or administrative experience preferred.
- Strong multitasking, organization, and follow-through in a fast-paced environment. Prior executive support experience is a plus.
- Excellent verbal and written communication
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint)
- High level of professionalism, confidentiality, and discretion
- Exceptional attention to detail and time management skills
