TITLE: Office Services Coordinator, Receptionist
GRADE: Non-exempt
DIVISION/DEPARTMENT: Administration/Office Services
REPORTS TO: Managing Director Human Resources & Administration
DUTIES & RESPONSIBILITIES:
- Prepare and print typical print jobs using software, including CorelDRAW, MS Publisher, Excel, Word, PowerPoint and Canon multifunction printers.
- Operate folding, cutting and binding equipment.
- Serve as backup for setting up and taking down conference tables and equipment for meetings, including lifting heavy items.
- Process incoming and outgoing mail and various other shipments promptly, delivering and picking up interoffice mail.
- Maintain inventory and stock café and kitchens for coffee and food service items, reordering online as needed. Keep the café and kitchens in good condition.
- Maintain inventory and stock copier locations with supplies.
- Provide receptionist support for office visitors or meeting support when necessary.
- Provide support for HR and treasury departments as needed for ad hoc support projects.
Requirements
QUALIFICATIONS:
- HS Diploma or GED, College degree preferred.
- Must have basic math skills.
- Good customer service skills.
- Good oral and written communication skills.
- Attention to detail.
- 3 years of experience operating office printing equipment preferred.
- Required: Basic proficiency in the Microsoft Office suite, including Word, Publisher, Excel and PowerPoint.
- Desirable: Some experience with CorelDRAW and Adobe Illustrator.
- Ability to lift 75 lbs.
- Flexibility, adjusting to changing deadlines and work priorities.
- Willingness and ability to learn quickly and grow in the position.
WORK ENVIRONMENT:
With department supervisor approval, A4A employees have the option to work from home on Fridays. All employees are expected to work in the office Monday through Thursday. However, this position will require in-office hours on Fridays to distribute mail, manage inventory and oversee café maintenance and upkeep.
SALARY INFORMATION:
The annual salary range for this position is $55,000 to $70,000. New hires are typically brought in between the minimum and midpoint of the range, depending on experience, qualifications and internal equity.
