Job Title: Receptionist/Administrative Assistant
Reports to: Chief Administrative Officer
Classification: Non-Exempt
Time Commitment: Part-time/Max 29 hours per work week
Position Summary
The Receptionist/Administrative Assistant manages AIRTEC's HQS corporate reception area and offices. The ideal candidate for this position must be courteous, tactful, possess the ability to deal with outside and inside contacts relating (included but not limited to) to customers, employees, and the community. This position promotes the corporate image by representing the company in a professional manner.
Primary Responsibilities
- Screen and route telephone calls, written correspondence with both internal staff, management and customers and vendors.
- Assist customers and visitors, ensuring compliance with company visitors and security procedures.
- Marketing and kitchen supply inventory tracking and ordering.
- Draft, process, file and maintain correspondence, messages and other documentation.
- Maintain the cleanliness of the office, conference, and reception areas.
- Organization of team events, luncheons and meetings, including coordinating conference rooms, creating agendas, and providing refreshments and/or meals.
- Daily errands include post office, bank and lunch for executive level staff.
- Delivery and pick-up business-related correspondence in the immediate geographic area.
- Assists the Corporate departments as needed.
- Draft, process, file and maintain correspondence, messages and other documentation that is not already managed by the HR Department.
- Coordinates high level projects and meetings.
- Has a broad knowledge and understanding of the company's operations and business objectives.
- Inventory of equipment, shipping and receiving of packages via FedEx, Freight, UPS, and USPS.
- Other duties as assigned.

- Must possess the highest level of work ethics and integrity with the ability to maintain confidential information.
- The ability to be proactive in anticipating business and administrative needs.
- Must possess strong administrative and organizational skills with the ability to be proactive in completing assignments and job responsibilities with minimal supervision.
- Must possess superior writing skills with ability to write, edit and manage correspondence at executive levels. Acute attention to accuracy, consistency and a high degree of quality in work.
- Excellent communication and customer service skills.
- Must be highly reliable and dependable.
Minimum Qualifications
- U.S. citizenship.
- High School Diploma with at least 2 years of administrative/reception office experience.
- Ability to successfully pass a background check and drug test.
- Valid driver's license with a clean driving record.
- Strong experience in Microsoft Office, including Outlook, Word, Excel and PowerPoint. Experience with Microsoft Project preferred.
Preferred Qualifications
- Associate's degree in business or related field.
- 5 years of administrative/reception experience.
Travel
- Only local travel required.
Physical Requirements
- This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, multi-function printers and smartphones.
- While performing the duties of this job, the employee is regularly required to talk or listen. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to work in a variety of physical conditions.
- Ability to lift 10 lbs at times.
