Job Summary
Under general supervision, provide complex administrative support to the director, community members and partners, MSU's student community, and the Office of Community Services as it seeks to honor the university's strategic plan. Work requires a wide knowledge of the organization's policies and procedures relevant to the assigned office.
Job Duties
Duties & Responsibilities:
- Provides accurate customer service responses to the public. For example, questions about volunteering, partnerships with OCS, directions to students and the public on the correct spaces at MSU via phone calls and emails; receiving and reading incoming correspondence and information, and drafting replies to general inquiries that do not require technical program knowledge; checking outgoing correspondence for procedural accuracy
- Provides information requiring comprehensive knowledge of institutional policies, procedures, and special issues to the public that is prepared by OCS
- Enters, updates, and retrieves information stored in files and databases; creates spreadsheets, charts, flyers, etc.
- Formats reports and grant proposals that the office seeks to submit before they leave the office
- Assists the director in revising OCS's website; assistance is necessary as OCS seeks to be the locus where outcomes and impact results of MSU's numerous community services and engagements.
- Makes the necessary contacts and follows up on correspondence, gathers the necessary background information and materials, and checks outgoing correspondence for procedural accuracy
- Monitors and updates time, leave, and inventory. Gathers information for the director in preparing and administering the OCS's budget.
- Makes all necessary arrangements for travel and independently performs required administrative follow-up and recordkeeping.
- Interacts with the public by sending the director's written speeches to community events and neighborhood associations. May need to accompany the director at some local events.
Requested Minimum Qualifications
EDUCATION:
A High School Diploma or GED is required.
EXPERIENCE:
At least three years of secretarial experience is required.
Other Preferences for Consideration
- An AA degree or an undergraduate degree from an accredited college or university in any field of study.
