Description
Primary Responsibilities and Position Description
Position Summary: Responsible for ensuring business operations are executed smoothly. Oversee office space, mail distribution, and other forms of communication, scheduling resources, and other administrative support functions.
Primary Responsibilities:
- Balance multiple projects simultaneously and appropriately handle sensitive, confidential information with the utmost discretion
- Anticipate needs of the COO and Executive Director
- Answer the phone and triage calls as needed
- Scheduling and calendar management including coordination of complex meetings with multiple participants and locations
- Prepare and distribute meeting materials and take thorough, accurate minutes
- Assist in preparing presentations for the Directors, Executive Director, and COO
- Understanding of when to solve problems thoughtfully and independently and when to escalate issues to the COO
Requirements
Qualifications:
- High school diploma and 5 years of relevant prior experience
- Proactive and able to prioritize effectively
- Ability to meet strict deadlines
- Customer service skills
- Strong written and verbal communication skills
- Planning and organizational skills
- Strong problem-solving skills
- Strong computer skills
- Attention to detail
Knowledge/Skills:
- Microsoft Office – highly proficient
- Outlook
- PowerPoint
- SharePoint
- OneDrive
- Zoom – highly proficient with functionality including break out rooms
Classification:
- Exempt
- Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs
- Some travel required (5%)
- Hybrid (2-3 days/week in the office) in Washington D.C. area
