Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
Administrative Duties
- Serve as back-up for front desk staffing
- Meet with supervisor once a week
- Staff meetings once a week
- Supply inventory and ordering for the Multicultural Center (MC)
- Ensure organization of files within the MC (electronic and hard copy)
- Proofread and edit documents for official MC communication (e.g., emails, newsletters)
- Oversee budget reports for the MC
- Coordinate MC reservations & arrangements
- Create a check-in/out system to track student activity in the center and at events
- Monitor social media pages
- Respond promptly and professionally to MC emails
- Create systems and checklists to assist with efficiency in the MC
- Ensure all MC brochures, marketing materials, promotional items, and branded merchandise are updated, maintained, and sufficiently stocked through quarterly inventory reviews
- Outreach and marketing for the MC and/or Division of Access and Institutional Engagement
- Assist across the division as needed
Supervisor Duties
- Supervise, train and evaluate front desk student workers
- Develop office schedule for all student workers (e.g., Multicultural Center Ambassadors, graduate assistant, front desk staff, interns) to cover the office 9 AM - 8 PM (Monday through Thursday) and 8 AM - 5 PM (Friday)
- Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of the principles and practices of mathematics and statistics.
Knowledge of research and analysis techniques and methods.
Knowledge of work-related subject area.
Knowledge of computers and software applications.
Ability to prepare, present, and review oral and written information and reports.
Ability to research and analyze related work program information.
Ability to develop, recommend, interpret, and apply policies and procedures.
Ability to analyze financial records and prepare reports.
Ability to plan, organize, and direct the work of others.
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:
The formal education equivalent of a High School Diploma .
One (1) year of specialized training in business management, business education, or a related field.
Three (3) years of experience in a specialized or related field applicable to work performed.
Other job-related education and/or experience may be substituted for all or parts of these basic
requirements, except for certification or licensure requirements, upon approval of the
qualifications review committee.
