We are currently seeking an Executive Administrative Assistant to join our team remotely, reporting directly to the Head of Operations. In this role, you will play a key part in maintaining a seamlessly organized and professional administrative operation, collaborating with cross-functional partners, managing calendars, coordinating travel arrangements, and providing critical administrative support for major meetings and projects across diverse locations. 

This is a remote position, requiring a minimum of 2 years relevant work experience.

Responsibilities:
Maintain established system for processing, and transporting material samples until point of delivery
Collaborate with cross-functional partners to maintain a seamless business operation
Responsible for proactively managing daily calendars and resolving scheduling challenges
Assist with accepting and scheduling virtual and in-person meetings and conference calls
Coordinate travel arrangements including itineraries, agendas, and accommodations
Process monthly expense reports. Manage incoming bills and statements related to expense report processing
Support in administrative planning and coordinating of major meetings
Assist with PowerPoint presentations: create slides, make edits
Assist with Excel outputs and reporting to share key data with stakeholders
Collects agenda topics as requested for standing team meetings
Collaborate with other corporate Administrative Assistants when necessary

Skills and Qualifications:
Minimum 2 years of administrative experience or in a relevant capacity
Ability and willingness to learn new skills and work processes
Good interpersonal skills, self-starter who is comfortable working cross-functionally
Excellent writing & verbal communication skills
Knowledge of Microsoft Office Applications
A forward looking thinker and problem solver
Excellent organizational skills and time management
Ability to work well independently with little or no supervision
Must be able to work as part of a team
