Description
The Receptionist serves as the first impression of and welcoming presence at the University of Oklahoma Foundation. This highly visible role personifies the OU Foundation Guiding Principles by greeting every guest, donor and caller with care and commitment, ensuring smooth communication across the organization, and supporting daily operations that advance the university’s mission.
KEY RESPONSIBILITIES:
- Answer incoming calls with a friendly, courteous tone and route effectively using the phone directory and organizational chart.
- Provide accurate information or warm hand-offs to the appropriate department or staff member, on-site or off-site.
- Take messages as needed and follow up to ensure timely responses.
- Open the office prior to 8 a.m. and close at 5 p.m.
- Greet each guest with eye contact, a smile, and a warm verbal welcome; notify the appropriate team member of their arrival.
- Maintain professional dress and demeanor as first contact with organization.
- Maintain confidentiality of donor and employee information.
- Support outgoing mail preparation — stuffing, labeling and postage — for any department within capacity.
- Book Outlook appointments in available conference areas organization-wide.
- Direct and assist maintenance staff, liaise with Foundation Facilities Manager, reporting issues as they arise.
- Perform donor and customer services, including:
- Assisting with basic donor help — duplicating receipts, finding information and answering or forwarding donor questions.
- Receiving ongoing training on types of donor help.
- Perform other duties as assigned.
Requirements
REQUIRED QUALIFICATIONS:
Knowledge, Skills, Abilities
- Professional, warm verbal and written communication skills and a hospitality mindset.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and standard office equipment.
- Strong organizational skills and the ability to exercise discretion with sensitive information.
- Attention to detail, follow-through, sound judgment and team orientation.
- Alignment with the OU Foundation Guiding Principles and commitment to advancing the university’s mission.
Education and Experience:
- High school diploma or equivalent required.
- One- to-three years of receptionist, front-desk or administrative support experience.
Preferences:
- Some college.
- Prior experience in higher education, nonprofit, advancement or development office settings.
- Familiarity with RingCentral or comparable multi-line phone systems; experience supporting donor stewardship or events.
Physical Requirements:
- Prolonged periods of sitting at a desk.
- Must be able to occasionally lift up to 15 pounds at a time.
- Engage in repetitive motions.
This position is ineligible for remote work.
